Before Aurora
Start with the decision, not the exhibitor list.
The official ticket page currently describes more than 100 full-scale structures and more than 150 exhibitors. That scale can create noise. A directory becomes useful only after the owner defines what the property needs to prove.
Bring one page with the property location, project stage, intended guest, approximate phase-one key count, utility position, access constraint, climate concern and operating role. Mark facts separately from assumptions. If the land is still under review, structure shopping may be premature. If the property is operating, test added rooms against housekeeping, guest communication and service access.

Monday
Use the roundtables to break one assumption.
The official schedule identifies September 28 as the pre-show expert-roundtable day. Current topics include site planning and development, funding and finance, and operations. Bring one unresolved fact instead of asking for a general opinion about glamping.
A land-screening owner might bring a parcel map. A team with a concept might test its project brief against access, utilities and staffing. An operating property might focus on the service bottleneck new rooms would create.
Record what was stated, what document could support it and who owns the next check. A roundtable comment is not a permit, engineering conclusion, financing commitment or legal opinion. Its value may be the better question it produces.
Tuesday
Scan once, then compare on a fixed brief.
Use the first floor pass to understand categories and locations. Do not attempt a complete technical interview at every display. Mark the structures, site systems and operating tools that could answer the decision on the project page.
The second pass should be slower. Ask relevant suppliers the same questions. For a structure: exact model, published design basis, included systems, delivery envelope, site-work boundary and available documents. For software: merchant ownership, guest-data location, failure handling and record export. For wastewater, power or access systems, start with known site inputs.
The live agenda can be filtered by day, track, time and location. Use it instead of copying a static session list. Photographs and verbal claims also need the company, model, date and promised document. A directory listing is not performance evidence.
Wednesday
Close evidence gaps before the expo ends.
The organizer lists a 3:00 p.m. close. Use the shorter day for second meetings. Return to candidates that survived Tuesday and request the exact missing documents.
A unit request might include model-specific scope, exclusions, utility connection points, transport assumptions and site-relevant climate or structural information. Do not turn a show-floor deadline into a project deadline. A special offer cannot settle land use, engineering, contract risk or installed scope. Wednesday should end with a clean evidence request and a named follow-up, not an improvised order.
Project routes
Build the route around the project’s stage.
Land and feasibility teams should prioritize access, utilities, fire access, wastewater, finance and the gap between a display unit and an approvable site plan. Structure and delivery teams need the guest brief, delivery path, climate questions and the responsibility line from factory release through weather-tight handoff.
Operating teams can use the operating-stack guide to connect reservation, payment, access, messaging, housekeeping and exception handling. Existing properties should start with a known bottleneck, such as turnover capacity, staff coverage or arrival flow, then test new units against it.
Evidence log
Spend ten minutes recording what the day produced.
Before leaving, list the company or speaker, the claim or question, the promised document, the responsible person and the follow-up date. Mark unanswered items and remove duplicate notes while the conversation is fresh.
Within 72 hours, ask for the exact current scope sheet, drawing, test report, integration list or contract term the comparison requires. “More information” is not a useful request. A clean show file should make the next project meeting shorter.
