Direct answer

Before moving live inventory to ResNexus, freeze ten records: legal entity and modules; property hierarchy; rates and packages; reservations and guest data; channels; payments and accounting; roles; accessibility information; acceptance and cutover; and rollback, export and exit.

Run two rehearsals with representative data. Reconcile record counts and money, then keep the old system read-only until future stays, balances, deposits, taxes, gift certificates, channel bookings and required reports agree.

Relationship boundary

The event listing starts a review. It does not prove migration fit.

The official 2026 event map lists ResNexus at booth 201. ResNexus describes property management, online booking, APIs, payments, mobile access, housekeeping, messaging, reporting and channel distribution.

Those are first-party descriptions. They do not establish a property-specific plan, fee, configuration, integration, compliance status or result. UNIKOST has no documented partnership, reseller relationship or implementation role with ResNexus.

Map the inventory

Confirm the contract, then crosswalk every rentable object.

ResNexus's privacy policy identifies Convoyant, LLC dba ResNexus. Its terms describe regional entities and services. The order form should identify the contracting entity, purchased modules, add-ons, incorporated terms and billing party.

Map property, accommodation type, unit or site, occupancy, configuration, pet status, accessibility attributes, amenities, cleaning state, tax category, channel code and accounting code. Keep a stable source identifier for each record.

Test mixed inventory: an accessible cabin, pet-friendly unit, RV site with a hard equipment limit, package, retail item, maintenance hold and seasonal unit. A matching total is not enough if records land in the wrong class. The PMS shortlist covers category comparison; this file controls one named migration.

Move the records

Rebuild rules and preserve traceable guest history.

Create a rate register for date range, unit class, occupancy, stay restrictions, lead time, deposit, cancellation, tax, fee, package, promotion and channel override. Test total price for real stays rather than copying the displayed nightly rate.

Map reservations and guests separately. Preserve booking number, source, dates, unit, party, rate, taxes, fees, deposit, balance, status and cancellation terms. Keep the old identifier searchable after cutover.

Classify old notes before import. Do not move free-text card numbers, identity documents, sensitive details or stale personal information merely because they appear in an export. The property needs its own privacy, retention and access rules.

Set the channel source of truth and document field direction, sync timing, error queue and exception owner. The operating-stack guide places PMS beside channels, payments, messaging, locks and accounting.

Test the controls

Verify accessibility, payment, roles and support paths.

DOJ Title III regulations address accessible reservations at places of lodging, including booking access, information about accessible features, holding inventory and honoring the reserved accessible room or type. Map the property's applicable requirements into the inventory, booking and arrival workflow.

Build a transaction crosswalk for authorization, deposit, capture, refund, chargeback, gift certificate, tax, fee, processor batch and bank deposit. ResNexus pages describe processing and QuickBooks export, but the property needs the exact processor, merchant agreement, token and account mapping.

PCI SSC says outsourced processing does not remove merchant responsibility. Request provider evidence, a written responsibility matrix and the validation path. Never move card data through a spreadsheet, ticket, email or chat.

Define roles for front desk, housekeeping, maintenance, finance, manager, administrator and outside support. Test mobile access, lost-device response, remote sign-out, support authorization and privileged-user review.

Cut over safely

Rehearse the move, freeze changes and keep a real rollback.

Run an early rehearsal and a final rehearsal. Compare inventory, future reservations, arrivals, departures, guest profiles, deposits, balances, taxes, gift certificates, housekeeping states, channel bookings and reports. Sample individual records after totals agree.

Define the freeze window and system of record. Assign new bookings, changes, cancellations, payments and messages arriving between export and cutover. Stop for missing stays, wrong units, price or tax errors, unlinked deposits, double-booking risk, accessibility failures, channel queues or excessive access.

Request sample exports before signing. Record formats, dictionaries, attachments, timing, cost and post-termination access. Keep the old system read-only until staff can recover a historical stay, payment trail and required report.

Use the opening-readiness guide to assign owners and closure evidence. The project calculator can expose operating dependencies; it is not a PMS-price, privacy, accessibility, compliance, occupancy, revenue or return calculator.

FAQ

Questions to resolve before go-live.

Is ResNexus listed at Glamping Show Americas 2026?

Yes. The official event map lists ResNexus at booth 201. The listing does not prove attendance, endorsement, product fit or a UNIKOST relationship.

Does ResNexus publish campground features?

Yes. Current pages describe reservations, online booking, front desk, housekeeping, reporting, messaging, payments and channel connections. The contracted plan and configuration still require written confirmation and testing.

Can a property import only future reservations?

That depends on operating, accounting, legal and support needs. The migration file should say which records move, which remain read-only and how old identifiers remain traceable.

Does a supplier privacy or PCI statement prove property compliance?

No. The property still needs a contract- and configuration-specific responsibility matrix, access controls, privacy process and applicable validation.

Does UNIKOST sell or implement ResNexus?

No documented partnership, reseller relationship or implementation role exists. This is an independent buyer-side profile.
